When paper went down the drain - Cineland's digital revolution


Cineland
is the youngest, but fastest-growing, Bulgarian cinema chain. The beginning of their development started in February 2015 when they opened their first location in Gabrovo. Cineland is already ranked fourth among cinema operators in Bulgaria.

From the beginning, the company has strived to be a digitally oriented company that has completely eliminated paper from its workflow. The company’s vision is that its management team in particular spend more time developing meaningful activities, products and services instead of wasting time dealing with paper documents. Whether digital personnel files, digital contract management, digital asset management, digital invoice management – all processes were digitized with the holistic information management solution M-Files and Konica Minolta Bulgaria.

Konica Minolta discussed the path to fully digital processes and paperless desks with the CEO of Cineland OOD, Bozhidar Iliev, who talked about the company development and the role of M-Files therein.

Less paperwork, more showtime: digitalizing all document workflows

Dear, Mr. Iliev, could you tell us more about Cineland OOD and its presence in the Bulgarian market?

Cineland started its operations in the spring of 2015 when we opened our first cinema theater in Gabrovo. We have gradually expanded, adding a new theater every year. Our newest addition is the cinema theater in Bulgaria Mall, Sofia, which is designed to be luxurious, advanced, and equipped with interactive features. We also offer various digital services to our customers. As a company, we are focused on digital marketing, which naturally led us to the digitalization of our in-house processes.

As the managing director of Cineland since its establishment, when did you feel the need to digitize your company’s processes?

From the very beginning, we have strived to be a digitally oriented company by gradually aiming at the complete digitalization of all our processes. We wanted to completely eliminate paper from our workflow. We started the first step with the implementation of an electronic personnel file, and eventually we planned to extend digitalization to other departments. My vision is for our cinema theater managers and the rest of our management team to spend more time creating meaningful activities, products, and services rather than wasting time on paper documents processing.

What made you choose Konica Minolta Bulgaria as your digitalization partner?

We chose Konica Minolta Bulgaria because the M-Files platform enables a holistic approach and covers the digitalization of different business processes and departments. We started with digital employment files and then moved on to other stages, such as contract and asset management. I saw the potential for their system to cover different aspects and operations of our company. We are also planning to integrate our expense management process, including invoice and offer AI processing, into our accounting. Future milestones will also include full integration of our ERP system with the M-Files platform.

Could you share some insights about the process development and solution implementation?

I have been very impressed with the entire Konica Minolta Bulgaria team from the very beginning. Their responsiveness and the ease of our collaboration were remarkable. The response time was impressive, with

ideas converting to implementation within a matter of hours. Our relationship with the team became not only professional but friendly. I often have ideas that could benefit our company, and the team always works with us to find flexible and workable solutions.

What has been the positive change since implementation and how have employees embraced the changes?

The positive change was noticeable shortly after implementation. Our processes became much more efficient, freeing up management time to focus on creating meaningful activities and improving our products and services. Employees embraced the changes with great enthusiasm. There was no resistance, which was a pleasant surprise. Everyone was happy to give up the burdensome paper process and appreciated the streamlined workflows. A prominent example, given the summer season, is that colleagues shared that running leave requests through the system was a real pleasure. On my part, upon their approval, I send a comment wishing them a pleasant holiday.

What is your advice to companies that are about to launch digital processes?

Don’t hesitate – it’s the future. The sooner companies take a step in this direction, the more they will gain. Human resources are in short supply globally, and there are far more valuable ways to utilize them than having employees carry paper from desk to desk. The investment in digital processes is minimal compared to the benefits after a successful implementation. I strongly advise prospective clients to trust the expertise of the Konica Minolta Bulgaria team. I have worked with various software companies over the years, but this is the first time I have encountered such responsiveness and expertise. I would also add that when implementing such advanced software systems, the level of commitment and support from senior management is key.
